Client - You the Organisation or individual Booking
Session Provider - LAGBA LTD trading as VoxPro Sessions.
Booking Request - The initial form sent by the Client to request Session or Course delivery.
Holding Window - The requested date on the appointment calendar reserved between the time the Booking Request is made and 24 hours after a Response Quote is sent to the Client.
Booking Deposit - a non refundable payment required to accept Vocal Development Package bookings only.
Remaining Balance - Any amount of the Total Balance still owed by the Client after the booking is accepted, including any additional fees that arise before the Session delivery.
Total Balance - The total cost quoted for the booking at the time the Response Quote is issued for a booking to be secured. This may change if additional fees arise before the Session delivery.
Response Quote - The email or message sent in response to the Booking Request only.
Booking Requests for specific dates are accepted based on reservations being secured by receipt of either the Booking Deposit or Total Balance.
Booking availability is also determined by the answer given for the total children participating in your Course or Group Package Booking Request. This may result in the following:
A Booking Request not being accepted due to capacity limits.
An offer of more Sessions or Courses to be delivered at a different time on the requested date or over several dates, that may or may not include the requested date. This will increase the Total Balance.
You will receive a Response Quote with a QR code (bank transfer) payment link for the following:
a. Courses and Group packages, such as the SunBurst Sessions: A single QR Code for the Total Balance.
b. Vocal Development Packages: Two QR Codes for the Booking Deposit and instalments towards the Remaining Balance; and a link for the Total Balance.
A payment is due within 24 hours of receiving the Response Quote to accept your booking, depending on the Session type requested as outlined below:
a. Courses and Group packages, such as the SunBurst Sessions: The Total Balance is due.
b. Vocal Development Packages: A £40 non-refundable Booking Deposit is due.
The Response Quote and Booking Request will be cancelled where the Booking Deposit or Total Balance is not received during the Holding Window and will require a new Booking Request to be submitted. This does not guarantee availability for the dates previously requested.
VoxPro Sessions does not require or accept payment for a Booking Request before a Response Quote has been issued and a session date has been confirmed.
Any payment made prior to this stage does not secure a booking and will not reserve a session date.
If a payment is received before a Response Quote is issued, VoxPro Sessions reserves the right to return the payment in full to the original payee. Any administrative fees associated with processing such payments may be deducted where applicable.
Clients are advised to submit a Booking Request and await a Response Quote confirming availability before making any payment.
The Booking Request is only accepted when a payment is received in line with term 4 of this agreement.
The Remaining Balance is payable 7 days before the first/only Session Start Date. The entire booking will be terminated where the Total Balance and any Remaining Balance are not paid in full by this time.
Your quote will include the booking details including; suggested session or course quantities, due dates for the Total Balance, Remaining Balance, and/or Booking Deposit, the requested Sessions, arrival and leaving times, and Booking specifications submitted in the Booking Request.
Changes requested for this booking less than 30 days before the first/only Session date may require an additional fee payment and will only be accepted at the discretion of the Session Provider.
Additional fees that will result in a Remaining Balance may arise after a booking has been accepted, where changes are made to the original Booking Request or where additional costs are incurred before Session delivery. These may include but are not limited to:
changes to the Organisation or Client Location;
travel or parking costs as outlined in term 12;
increases in the number of children participating in a Course or Group Package Sessions;
additional Sessions requested.
Travel fees will be added in addition to Session fees and will be included in the Total Balance / Remaining Balance, where the Organisation or Client Location is outside Central Manchester, UK.
Vocal Development Package Sessions will be delivered in a Venue based in Central Manchester,UK, as arranged by the Session Provider.
a. a notification via message or email will usually be sent at least 72 hours before the Session time. However, there may be last minute changes in the venue location due to availability or safety issues.
A full or partial refund will be issued in the following circumstances:
a. If the Session Provider Employee is no longer able to fulfil the session delivery due to unforeseen circumstances, you will receive a refund of the fees paid towards the Total Balance minus the equivalent fees for any delivered Session(s) completed as part of the booking of a Course, or Package.
b. If the Client cancels the booking more than 30 days before the Session Date:
• For Courses and Group Packages: a refund of the total fees paid, minus a 30% admin fee, will be issued.
• For Vocal Development Packages: a refund of the total fees paid, minus the non-refundable Booking Deposit, will be issued.
Any fees paid towards the Total Balance are non-refundable for the following:
a. Cancellations less than 30 days before the first/only Session date due to any of the following:
where the Client makes the cancellation request;
unpaid fees added before or after the first/only session delivery;
where another Session delivery date cannot be agreed due to availability at the discretion of VoxPro Sessions or other constraints.
b. Where the Session Provider has had to terminate the Session delivery on arrival at the Organisation Location or at any point during the Session delivery due to the following:
Behaviour directed towards the Session Provider employee(s) deemed as threatening or inappropriate from the Client or any individual attending the Session or Organisation Location.
The Organisation Location is deemed unsafe to deliver a Session by the Session Provider employee(s), due to any individual's behaviour or hazardous environment conditions.
The total number of children participating exceeds the number stated in the accepted Booking Request.
A responsible adult or authorised representative (such as a teacher, child minder or safeguarding officer) is not present at the Organisation Location for the full duration of a Course or Group Package Session , or appropriate supervision of participants is not provided to ensure safe and effective Session delivery.
c. Where the Total Balance / Remaining Balance is not paid at least 7 days before the first/only Session Date.
d. A successfully completed Booking.
Due to GDPR, and in line with this website's Privacy Policy, your personal details submitted in the booking form will be removed from booking systems used by LAGBA Ltd to store your Booking Request submissions in the following circumstances:
a. If a Booking Request is not secured by payment of a Booking deposit; OR Total Balance, as stated in term 4.
b. The remaining balance is not paid in full by the due date as stated in term 8.
c. A booking has been terminated as stated in 15.b.
d. A Booking Request is cancelled for any reason unmentioned.
e. A booking has been successfully completed.
The terms and conditions may change at any point, but the terms that existed at the time a Booking Request is made still apply and will always be made available to the Client upon request.
Complaints can be made by emailing complaints@lagba.co.uk and will receive an acknowledgment of receipt within 72 working hours and a proposed resolution within 21 working days.
The Session Provider will take all reasonable care in the delivery of Sessions and Courses. However, when a Course or Group Package session is booked, the Client is responsible for ensuring that:
a safe and suitable environment is provided for Session delivery;
appropriate supervision of all participants is maintained at all times by a responsible adult or authorised representative;
all relevant health, safety, and safeguarding requirements at the Organisation or Client Location are met.
a. The Session Provider will not be held responsible for:
any injury, loss, or damage arising from inadequate supervision of participants in a Course or Group Package Session;
any injury, loss, or damage caused by the actions of participants or individuals present at the Organisation or Client Location;
any failure or disruption to Session delivery caused by circumstances outside of the Session Provider’s control, including but not limited to access issues, unsuitable facilities, or unsafe conditions.
b. Nothing in these terms limits or excludes liability where it is unlawful to do so under the laws of England and Wales.
All materials provided by the Session Provider in connection with any Session or Course, including but not limited to worksheets, exercises, recordings, resources, and teaching content (“Session Materials”), remain the intellectual property of LAGBA LTD trading as VoxPro Sessions.
a. Session Materials are provided to the Client solely for the purpose of supporting Session or Course delivery and participant learning.
b. The Client and any participants must not, without prior written consent from the Session Provider:
copy, reproduce, modify, or adapt the Session Materials;
share, distribute, publish, or make the Session Materials available to any third party;
use the Session Materials for commercial purposes or for delivery of similar services;
record, film, or reproduce any part of the Session delivery where Session Materials are used, except where explicitly permitted.
c.Permitted use of Session Materials is limited to personal learning or internal use within the Client’s organisation for the duration of the booked Session or Course only.
d.Any unauthorised use of Session Materials may result in termination of the Session or Course without refund and may lead to further action where appropriate.
This agreement is governed by the laws of England and Wales.
